Welcome to the resource page for departmental thesis reviewers! Here you will find resources and answers to help you prepare your students for a smooth deposit process with the Graduate College Thesis Office.
Departmental Format Approval
To indicate your approval of thesis format, after you have reviewed a student's thesis:
- Follow the link to the web-based departmental format approval form. You will be asked to sign in using your NetID.
- Complete the brief form and click the "Submit Form" button. An email notification will be sent to the Thesis Office, and you will be sent a copy of that email.
- Forward the email you receive to the student so that he or she knows the Thesis Office has been notified of departmental format approval.
Note: Only individuals listed as a departmental thesis reviewer on each department's Authorized Signatures form for the current academic year will be able to sign in and use this form. If you need access to this form, please ask your department to add you to their Authorized Signatures form and submit the updated form to the Graduate College.
Thesis Requirements
The current list of Graduate College thesis requirements is available online. The most recent update (Oct. 3, 2011) removes the curriculum vitae/author's biography section from the master's thesis and doctoral dissertation.

What are your walk-in hours?
Thesis Office staff is available to meet with students on Tuesday, Thursday, and Friday afternoons from 1:00 to 4:45 p.m. Students are seen on a first come, first served basis and are asked to sign in at the reception desk on the 2nd floor of Coble Hall. The Thesis Office does not schedule appointments.
What happened to the Departmental Format Approval form?
The PDF form is no longer available. Departmental format approval notification should be sent directly to the Graduate College via the Web-based departmental format approval form.
Where do I find the official version of a student’s name that should appear on the title page and CCA?
The official version of a student's name may be found by entering the student's UIN into SPAIDEN (in Banner). After clicking the "Next Block" button, the name that appears in the "Person" field in the middle of the screen is the name that should appear on the title page and CCA. Click here to see the name location on the SPAIDEN screen.
Where do I find the degree and program names that should appear in the text block on the title page?
The degree and program names may be found by entering the student's UIN into SGASTDN (in Banner). After clicking the "Next Block" button, the degree name appears in "Curricula Summary - Primary" under the heading "Degree". The program name appears in "Field of Study Summary" under the heading "Field of Study". Click here to see the degree and program location on the SGASTDN screen.
How do students begin the process of submitting an electronic thesis or dissertation to the Graduate College?
After the student has made ALL revisions and corrections and the thesis has been approved by the department, a student may begin the electronic submission process by proceeding to the ETD submission page.

When is the last day for a currently registered doctoral student to defend?
For the purpose of taking the doctoral final examination, the academic term in which a student is registered extends through the day before the first day of instruction for the following term (Graduate College Handbook, Chap. VI, Sec. B). Note that, because the October graduation period has been eliminated, there is no longer a grace period for doctoral students registered during the summer term.
How do I find out whether a potential committee member qualifies as Graduate Faculty and/or tenured?
Refer to the Graduate Faculty Database, searching either by name or department. Records of members who may be counted toward the Graduate College's requirement for at least 2 tenured voting members will display "YES" in the "Tenured" column (or will display a tenure-expiration date in the "Tenure Status Through" column). If no record is found, the individual may not be counted as Graduate Faculty. To request that an individual be added to the Graduate Faculty Database, or to request an extension of Graduate Faculty Membership, please refer to the instructions for Graduate Faculty membership.
